Job Summary and Responsibilities

As a Patient Access (PA) Scheduler, you will coordinate complex hospital-based services by aligning multiple resources, provider schedules, and specialized equipment. You will own the pre-registration process, ensuring all insurance authorizations, clinical referrals, and physician orders are verified and accurate. By using your expert judgment to resolve scheduling conflicts, you ensure every patient’s experience is seamless, professional, and timely.

Every day will keep you engaged as you balance inbound calls, fax requests, and outbound outreach to patients and clinical teams. You will maintain the integrity of our scheduling system, ensuring every piece of data is captured with precision. By collaborating closely with nurses and providers, you will optimize hospital resources and proactively clear any hurdles to care, ensuring that every patient arrives prepared and confident for their procedure.

To thrive in this role, you will need to be a master multitasker who stays calm and composed in a fast-paced environment. Success requires an exceptional eye for detail, as you understand that accurate scheduling is essential to both patient safety and operational efficiency. We are looking for an empathetic communicator who is tech-savvy and comfortable navigating Electronic Health Record (EHR) systems. If you have prior experience in medical scheduling or a high-volume office setting and a passion for supporting the Breckenridge community, we invite you to join our team.

Key Responsibilities

  • Centralized Scheduling: Manage inbound calls and faxes while proactively performing outbound calls to coordinate patient appointments.
  • Complex Coordination: Successfully navigate the scheduling of advanced and complex procedures that require multiple providers, equipment, or specific timing dependencies.
  • Pre-Registration & Compliance: Ensure all pre-registration data is accurate. Verify and obtain necessary provider orders, clinical referrals, and insurance authorizations prior to the patient’s arrival.
  • Problem-Solving: Utilize experienced judgment to resolve scheduling conflicts, optimize provider templates, and ensure all logistical requirements for procedures are met.
  • Communication: Serve as a resource for patients and clinical departments, maintaining clear, professional, and empathetic communication.

Job Requirements
  • High School Diploma or GED.
  • Three (3) years of previous Patient Access or Patient Scheduling experience.
  • Experience in a hospital environment, medical terminology, CPT/ICD-9 Codes.
  • Ability to multi-task and prioritization skills.
